The ideal candidate is someone who thrives with a variety of daily tasks, can work in a fast-paced environment, and is interested in learning new things.

You will provide a wide range of administrative support to the clergy, Executive Director, and all departments of the synagogue staff. This includes clerical support, data entry, mailings, processing donations, and generating correspondence, among other responsibilities.

Key Responsibilities and Tasks

1. Assisting in administrative tasks throughout the office, including filing, copying, and scanning

2. Update and ensure the completeness of the shared calendar

3. Create printed and electronic correspondence using mail merge and email tools

4. Assemble and process mailings

5. Prepare and assemble spreadsheets, packets, and folders

6. Manage, maintain, and order office supplies

7. Sort and distribute mail

8. Data entry of member and guest information, including donations, sponsorships, and program attendance in the membership database (ShulCloud)

9. Create and distribute weekly lists, such as yahrzeit, recent passings, misheberach (healing), service outlines, and sponsorships

10. Coordinate audiovisual technician support for programs, services, and rentals

11. Work with the b’nai mitzvah coordinator to prepare materials, gifts, and documents

12. Receive donations and record in member accounts

13. Solicit and maintain lists of volunteer ushers, greeters, gabbaim, and honors recipients

14. Scheduling meetings and Zoom calls and determining meeting availability

15. Purchasing food, drinks, and other supplies for services and minyan as requested

16. Answering phones and emails as needed

17. Coordinating the maintenance of office equipment, including copiers, folding machine, and postage meter

18. Diverse other assignments as directed

This Administrative Assistant will report directly to the Executive Director and is a full-time regular position.

Essential Skills and Competencies

· Strong capability to employ Microsoft Office tools, including Word, Excel, Teams, and PowerPoint

· Ability to communicate effectively in writing and verbally.

· Strong capacity to reason, follow procedures, and ask questions when unclear

· Professional phone etiquette

· Basic mathematical skills

· High School Diploma/GED and at least 1 year of work experience

Preferred Skills and Competencies

· Familiarity with Customer Relationship Management software and/or Constant Contact

· Bookkeeping skills

· Familiarity with Jewish practices or a willingness to learn

Compensation

Congregation Shaarey Zedek is committed to providing a competitive compensation package. Pay is $17 - $20 per hour, based upon experience and qualifications.
