JOB SUMMARY

The Development Specialist is responsible for supporting MICDS’ Annual, Capital, Reunion, and Planned Giving programs under the general direction of the Associate Director of Development - Annual Giving.

 ESSENTIAL FUNCTIONS 

  • Provides support to the Annual, Capital, Reunion, and Planned Giving programs:
  • Generates solicitation appeal mail merges,                        email campaigns, and pledge reminders.
  • Creates queries from development database for a variety of correspondence, reports, and fundraising materials.
  • Assists in crafting correspondence, data representation, and presentation materials for volunteer committees and special activities.
  • Assists with Development events including but not limited to volunteer outreach, meetings, and special events.
  • Plans and executes certain components of our giving campaigns.
  • Manages invoice processing and credit card reconciliation for Development programs.
  • Assists the Database Manager with research and maintenance of constituent records to ensure data accuracy.
  • Interacts with a diverse group of alumni/ae, parents, guests, and employees in a professional manner.
  • Provides an assortment of administrative support for the Alumni & Development Office.
  • Other projects and responsibilities may be added at the School’s discretion.

 JOB REQUIREMENTS AND QUALIFICATIONS

  • Requires a combination of education and experience equivalent to 2 years of development experience. College degree required. High level of discretion and interpersonal skills to handle sensitive and confidential situations.
  • Ability to pay continual attention to detail and accuracy in all areas of responsibility.
  • Strong proficiency in a variety of computer software applications; specifically, but not limited to Microsoft Office and Google Suite. Proficiency and experience working with databases.
  • Proven ability to establish priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Excellent customer service and telephone etiquette skills with proven knowledge of how to work effectively and professionally with all levels of internal and external clients.
  • Ability to work additional hours when needed, some evening and weekend work may be required.

  OTHER INFORMATION

  • A criminal history and background check is required and must be successfully completed.
  • Generally works in standard office conditions and climate.
  • May work at a desk and computer for extended periods of time.

  • Assist the DFO in the preparation and monitoring of departmental budgets and forecasts, working with other administrators and department heads concerning budget performance

Job Summary: 

The Accounting Supervisor (AS) reports to the Business Manager (BM). The AS is responsible for supervising the day-to-day operation of the Business Office. The AS coordinates the daily work- load of the Accounting Clerk/Purchasing Coordinator. The AS monitors daily cash flows and makes recommendations to the BM concerning management of cash balances. The AS is responsible for payroll and benefits administration; workers’ compensation administration; oversees accounts payable, cash receipts, student billing; posts accounts payable & miscellaneous cash to the GL; petty cash administration and audit support. The AS maintains a personnel file for each employee and oversees individual vacation and sick leave records. The AS acts as primary liaison between the Business Office and Special Events Coordinator. 

The AS will demonstrate leadership by example in communicating effectively with administrators, the internal academic community, staff, and parents. 

Primary Responsibilities: 

Payroll Administration: 

Request and maintain all new employee forms and documents for payroll.  Obtain a background screening for all new employees and volunteers. 

Annually prepare/update payroll database using information contained on the salary and compensation worksheet provided by the BM. Update benefit elections, direct deposit accounts and adjust retirement deductions as needed. 

Validate time sheets on a bi-weekly basis and electronically transmit payroll for processing on a timely basis. 

Complete payroll journal for posting to the general ledger by the BM.

Benefits Administration: 

Spearhead the identification, analysis and examination of potential medical, dental, vision, life and long-term disability insurance providers. Prepare comparative presentation for consultation with the BM and make decisive recommendation for selection. 

Function as liaison with insurance brokers for plan changes, new contracts, etc. 

Ensure the timely submission of employee enrollment forms and confirm accuracy of billing roster on a monthly basis. 

Act as point person for administration of 403(b) retirement program. 

Function as liaison with plan provider and counsel employees concerning plan options.

For 403 (b) retirement plan, at fiscal year-end prepare audit summaries to prove liability versus transmission of funds throughout the previous plan year. Work with 403 (b) third party administrator to verify eligibility of employee and confirm W-2 income for employer retirement contribution calculation.           

Maintain a current and on-going record of accrued, used, and available personal, sick, and vacation days for each employee.

Workers’ Compensation Administration:

Be knowledgeable of workers’ compensation law, reporting requirements and procedures. Act as school liaison with insurance carrier. 

Ensure that on-the-job injuries are reported in a timely manner. 

Provide insurance carrier with injured employee’s work schedule, pay rates etc., as requested. 

Work with employees through the worker’s comp process and act as liaison as needed. 

Petty Cash Administration: 

Maintain physical custody of school’s petty cash funds; disburse, monitor, and replenish as necessary. 

Maintain disciplined audit trail of appropriate requests and required receipts. 

Accounts Payable & Cash Receipts Administration: 

Supervise and ensure timely processing of accounts payable and cash receipts. 

Review accounts payable invoices prepared by Accounting Clerk for accuracy, completeness and appropriate account distribution. Indicate acceptance by approving payment requests and returning for check preparation. 

Review check register for accuracy and import into the general ledger. 

Review cash receipts for PayPal, OneCause (special events), and TeamSideline (sports) for accuracy.  Balance with the processing websites. 

Review cash receipts for accuracy and import into the general ledger. Perform monthly bank reconciliation and present to BM for review and approval. 

General Ledger and Audit Support:           

Regularly reconcile general ledger accounts during the year.  At year-end prepare work papers for audit requests for interim audit and final audit. 

Prepare workpapers requested by the audit company including payroll and benefit work papers. 

Prepare retirement reconciliation paperwork for annual audit and review annual required documents (annual notice to employees, 8955, 5500) prepared by Third Party Administrator. Review with BM for signature and filing. 

Other: 

Human resources support for new and current employees.  This includes posting job opportunities on appropriate websites and reviewing/updating job descriptions.  Act as a liaison between candidates and the school. 

Supervise business support of Country Fair, Golf Outing, Silver Tea, Trivia Night, Chemin de Fer and other fund raising events as necessary.

The Office Administrator serves to ensure smooth communication and effective management of administrative tasks and record maintenance.  

 

While the responsibilities below represent the primary role of the Office Administrator, the list is not exhaustive and may require additional duties and responsibilities as assigned by the Asst HOS for Finance & Operations.  


Primary Responsibilities: 

  • Administrative support: 

    • Provide assistance to the Leadership team, including but not limited to, handling correspondence, scheduling appointments and organizing meetings. 

    • Assists with the management of student, family and staff data in the FACTS Student Information System and donor information within the Kindful database. 

    • Assists the Asst. HOS for Finance & Operations with the scheduling, registration, calendar management of SCCS Ancillary programs (Extended Day, Athletics, Summer Camp, Extracurriculars) and shared space usage by partners &/or outside parties. 

    • Assists the Asst. HOS for Teaching & Learning in scheduling advance substitutes as needed, report card and transcript issuing. 

  • Communication: 

    • Serve as a liaison between SCCS, parents, students, addressing inquiries, disseminating information, and facilitating communication channels. 

    • Assist Marketing and Communications Specialist with printing and mailing projects as needed and support all school-wide communications. 

    • Assists in the management of school communications in FACTS and MailChimp.

    • Maintain the school phone and walkie talkie systems.

  • Front Desk Operations: 

    • Manage the front desk in terms of deliveries, mail, email and phone calls/voicemail for the school office. 

    • Work with the Faculty Team Leads & the Asst. HOS for Teaching & Learning to maintain an accurate record of which classes are off campus when and why for security purposes. 

    • Be the resident backup to the front desk in the main office when the School Nurse is off campus. 

  • Supply Management: 

    • Manage the general school supply budget, track and maintain school supplies for teachers and staff. 

    • Maintains the school copier and supplies. 

  • Technology Support: 

    • Track and oversee school Chromebook technology along with staff computers.

  • Other Support: 

    • Responsible for researching and leading the school in more efficient administrative systems & processes as it relates to the FACTS SIS, Kindful, registrations, student information and communications. 

    • Provide backup front desk support to the main school building.

Qualifications

  • High School diploma or equivalent

  • Has a strong working knowledge of Google suite of products (Google Docs, Sheets, Forms) and experience with data management in Google Sheets or Excel. 

  • Can supply three (3) references including a previous employer who can attest to:  

    • Successful experience related to the position

    • Candidate's ability to organize, prioritize and enhance systems. 

  • Strong interpersonal and communication skills.

JOB SUMMARY

Under the direction of the Director of Enrollment Management, performs a variety of tasks necessary to guide families through all aspects of the admission and recruitment process for the Lower School (grades JK-4) with a focus on strategic attraction and retention initiatives.

Thomas Jefferson School (TJ) seeks a Resident Assistant to live on campus and care for students, primarily during evenings and weekends. In exchange, Resident Assistants will be provided with room and board and a stipend (amount depending on start date). The ideal candidate must be at least 21 years of age and, preferably, a graduate student or young professional. An interest in working with adolescents and being part of a residential team is essential. The position is available for immediate start or to begin in August 2024.

TJ is a non-sectarian, co-educational boarding-and-day school for high-ability students in grades 7–12. Our college-preparatory program serves 85 students, about half of whom live on campus. TJ is located in Sunset Hills, a southwestern suburb of St. Louis, MO, approximately 20 minutes’ drive to the city.

Responsibilities

  • Residence will be required through the beginning of June. 

    • Students move out on June 1, 2024. For RAs not employed for the 2025–2026 year, the final move-out date will be June 30, 2025.

  • RAs supervise the students and oversee the campus through participation in a system of duty and on-call shifts throughout the year: 

    • 25 duty shifts (nights/weekends) during the academic year (36 weeks.) One duty shift lasts approximately five hours and entails: 

      • providing supervision and care for our boarding students by circulating through the dorms and around campus to touch base with students

      • being available to answer questions and handle emergencies 

      • enforcing school rules and policies

      • keeping track of student sign-outs using the Orah app

    • 9 on-call shifts (approximately): One on-call shift is 6 hours (Fridays) or 12 hours (Saturdays, Sundays, holidays) and entails:

      • being within a 10-minute radius of campus to provide support to the duty teacher in the event of an emergency

      • taking students to urgent care or hospital when needed

    • Late-night duty: participation in a rotation of approximately one week out of every six weeks

      • checking bedtimes (one to three times, depending on need, Sunday–Thursday, between 11:00 p.m. and 1:00 a.m.)

      • providing overnight on-call coverage for the campus 8:00 p.m.–7:00 a.m. 

  • Organize and chaperone special events and trips as needed 

  • Be available to students in their assigned dorm (“House”) 

  • Attend scheduled quarterly Residential Life meetings

  • Perform other duties as assigned by Head of School or Director of Residential Life
