TherapyNotes started when an information technology (IT) consulting firm founder helped his licensed clinical psychologist wife organize notes electronically for her mental health practice. It’s now a leading provider of EHR services thanks to its catering to small and medium-sized practices.

It offers a 30-day free trial and users can get a discount if they’re a nonprofit. Educational institutions can get free simulated access to TherapyNotes for academic purposes.

Private practice plans start at $49 per month for a single user. Groups pay $59 per month for the first clinician, then $30 per month per additional clinician, $20 per month per intern and it’s unlimited for nonclinical staff.

For more than 30 users (considered Enterprise-level), the pricing is the same as the Group level but includes a dedicated account manager. Each plan comes with free client data imports from another electronic medical record (EMR), phone and email support, a custom client portal and unlimited clients, appointments and notes.

Aside from its affordable price, TherapyNotes offers a whole suite of features meant to help mental health practices manage every aspect of their business.

Scheduling

The software has an integrated calendar that allows clinicians to see their day at a glance, quickly check client availability and schedule or reschedule appointments with ease. This helps reduce last-minute cancellations and no-shows because it sends automated appointment reminders.

Telehealth

TherapyNotes offers a Health Insurance Portability and Accountability Act (HIPAA)-compliant video conferencing solution that is built into the EHR software. This means clinicians can conduct video visits with clients without having to worry about the security of their data.

Billing

The software includes electronic insurance claims, client payment tracking and electronic remittance advice (ERA). This makes it easy for clinicians to get paid for the services they provide.

Security

TherapyNotes takes data security seriously and uses FIPS 140-2 compliant encryption to protect client data. The software is also HIPAA-compliant, which means it meets all the necessary requirements for safeguarding protected health information (PHI).

Credit Card Processing

Accept credit cards, debit cards and health savings account (HSA) payments with its integrated payment processing system. Payments automatically deposit into your bank account.

Reports

The software includes a variety of reports that helps users with billing and insurance. Reports can show write-offs, preauthorization renewals, service patterns, clinician productivity and insurance adjustments.

Searchable Diagnosis Codes

Using the DSM-5, note templates allow you to search for a diagnosis code in seconds. You can use either the DSM-5 diagnosis or the ICD-10 diagnosis code, and TherapyNotes will provide a list of matches.

Notes and Electronic Records

TherapyNotes allows clinicians to create progress notes, intake forms, treatment plans and discharge summaries. All of these can be easily accessed and edited from the software.

Patient Portal

The patient portal is a great way for patients to stay connected with their clinician. They can access their records, request appointments and complete intake forms. Clinics can brand the portal too.

While clinics can access training videos and a knowledge base 24/7, its customer support team has limited hours, though it’s available daily. Its hours are weekdays from 8 a.m. to 9 p.m. Eastern time and weekends from 8 a.m. to 4 p.m. ET.

Allscripts EHR and DrChrono are ideal for a variety of practice types, from mental health clinics to hospitals. TherapyNotes is made for mental health and behavioral practitioners, whether it takes place in a solo practice or full-fledged Enterprise networks. While TherapyNotes is limited in scope compared to its competition, it’s ideal for smaller mental health clinics that don’t need all the bells and whistles.

Allscripts EHR recently sold off its hospital EHR business and one of its divisions, Veradigm, just signed on with the Social Security Administration (SSA) to help streamline the difficult disability claims process. With its focus on its bread and butter—this new partnership making up a large chunk of its revenue—one might wonder if it’s smaller divisions will eventually phase out too.

Mobile-friendly EHR DrChrono was acquired by EverHealth in late 2021, which only adds to its arsenal; EverHealth’s central focus is independent healthcare facilities. It’s also focusing on expanding its Telehealth capabilities, made possible by the $12 million in funding it received from ORIX Growth Capital.

If you’re looking for an EHR that’s tailored specifically for mental and behavioral health practitioners, TherapyNotes is worth considering. The software is easy to use and navigate, has a patient portal and offers unlimited file storage. However, it’s important to note that customer support is only available during limited hours.

You’ll get personal attention not easily found with larger EHR providers; its success representatives are there to help navigate rejected claims, enroll, process credit cards and traverse the EHR climate. Large clinics or those outside the scope of therapy and mental health may find better options with other EHR providers, such as DrChrono or Allscripts EHR.
