    Position Purpose
    Promotes employee attendance best practices and adherence to District policy. Technical and transactional functions include data-entry, document collection, and facilitation of communication and meetings. Assists with proactive communications to supervisors related to employee attendance management.
    ESSENTIAL JOB FUNCTIONS

    Employee Attendance
    • Assists and supports employees with inquiries in alignment with Board policy and District procedures for information related to reporting absences and reporting time worked.
    • Resolves issues with absence tracking for all employees and locations within the District.
    • Assists employees and resolves employee issues related to the calling and online system, and time-reporting system; provides training and online support; escalates issues as needed.
    • Collect and compile data regarding employee attendance trends across all District locations.
    • Performs various systems processes to support electronic employee timekeeping system and electronic absence reporting system database.
    • Assists with delivering annual training to District personnel to improve employee absence reporting and increase the substitute fill rate.
    • Obtains necessary forms and documents from employees and maintains absolute confidentiality of employee data and absence types.
    • Maintains electronic absence reporting system database; ensures accurate reporting in electronic employee timekeeping system.
    • Inputs and maintains accurate and timely recordkeeping of automated systems; ensures inclusion of information from required sources and accuracy of records.
    • Reviews and verifies employee documents, and system codes to ensure accuracy and to support statistical reporting.
    • Works collaboratively, provides support, and proactively contributes to knowledge sharing with District staff.
    • Participates in special projects.

    Data Processing
    • Compiles and generates data to support supervisor report requests.
    • Reviews and verifies employee documents and personnel calendar.
    • Maintains accurate data.

    Safety
    • Performs preventive maintenance on tools and equipment and ensures equipment is in safe operating condition.
    • Follows established safety procedures and techniques to perform job duties including lifting and climbing; operates tools and equipment according to established safety procedures.
    • Corrects unsafe conditions in work area and promptly reports any conditions that are not immediately correctable to supervisor.

    Supervisory Responsibilities
    • None.

    • Skill at the intermediate level, working with Microsoft Office 365, especially Outlook, and Word.
    • Skill in giving full attention to what other people are saying, taking time to understand the points communicated, asking questions as appropriate, and not interrupting at inappropriate times.
    • Skill in performing mathematical calculations with accuracy and data entry with minimal errors.
    • Skill in completing assignments correctly, with attention to detail, and review/proofread accuracy.
    • Skill in interpersonal relationships, including using tact, patience, and courtesy.
    • Skill in using multi-function telephone, telephone techniques, and phone etiquette.

    Physical & Mental Demands, Work Hazards
    • Tools/Equipment Used: Standard office equipment, including computer and peripherals.
    • Posture: Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
    • Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching; occasional climbing stairs; frequent walking.
    • Lifting: Occasional light lifting and carrying (less than 20 pounds).
    • Environment: Works in an office setting; occasional work outside to travel between buildings or in the preparation/completion of meetings; (exposure to sun, heat, cold, and inclement weather); frequent talking and listening; noise levels in the office are usually low to moderate; exposure to distracting noise from reception area and hallway.
    • Attendance: Regular and punctual attendance at the worksite is required for this position; may require irregular and/or prolonged hours.

    Minimum Required Qualifications
    • Education: Accredited High School diploma, GED, or Texas Certificate of High School Equivalency required.
    • Certification/License: None.
    • Experience:
      • 3 years' in technical customer service or detailed work that includes the use of arithmetic, research, and maintaining detailed records, as well as maintaining confidentiality while collaborating with staff required;
      • 1 year' working with Smartfind/Kronos information systems preferred.
    • Language: Bilingual (English/Spanish) preferred in some settings.
